Terms & Conditions
When booking your holiday we ask you to read the following Terms & Conditions, as these form the basis of your contract with Ruby Rejser Aps, laying out both parties’ responsibilities.
CANCELLATION BY YOU
Cancellations need to be made in writing to Ruby Rejser Aps. Once your cancellation is received the following criteria will apply:
- Received more than 60 days before your holiday’s start date – loss of deposit (200 Euro/person).
- Between 60 & 22 days before your holiday’s start date – loss of 60 percent of the total booking price.
- Between 21 & 15 days before your holiday’s start date – loss of 80 percent of the total booking price.
- Between 14 & 8 days before your holiday ́s start date – loss of 95 percent of the total booking price.
- Less than 7 days before your holiday’s start date – loss of 100% of the total booking price.
No refunds will be made once the holiday has started.
Ruby Rejser Aps cannot be held responsible for bad weather and other factors out of our control. If we happen to have bad weather and you decide no cycling is possible we will suggest alternative activities. The refund conditions apply to all persons on the booking. A single refund for the entire amount will be made to the person who made the booking.
In the event of a partial cancellation of a room (where only 1 of the 2 persons cancel), the single room surcharge will be applicable to the remaining person. This fee will be due as soon as possible and before the holiday’s start date.
CANCELLATION BY US
In the unlikely event that we have to cancel your holiday we will of course provide you with a full refund of the amount paid by you. If we cancel less than 20 days before your holiday’s start date – we will give you a 15 percent holiday discount on a future tour. These future reductions are valid for the person(s) on the original cancelled booking only.
ALTERATION OF THE BOOKING
In case the customer asks for any kind of alteration of the already confirmed tour package, he is obliged to pay a change fee of € 30/person. A reduction in number of participants or a change in the dates will be considered as a cancellation and will therefore be subject to the cancellation fees.
SERVICES AND PRICES
The services included in the tour price are described under the each tour on our website. We reserve the right to amend the route of each tour.
Furthermore, we reserve the right to correct errors, print and calculation mistakes. Visitor’s tax (not applicable as of November 2015) is not included in the tour price and has to be paid locally at the respective lodging. Possible costs that may arise with individual providers have to be settled there. Services included in the tour and which have not been claimed cannot be reimbursed.
Ruby Rejser Aps reserves the right to charge a single room price should you book half a double room in accompanying group tours when no further guest occupies the other half.
For the duration of your holiday we will provide you with a quality bike and equipment all in good working order. All reasonable care must be taken to avoid damage or loss to the rented equipment. Any loss, damage or theft of equipment must be paid for at the end of the holiday based on quotes received from our suppliers.
Our bikes are fully maintained and checked before your arrival. We ask you to confirm that your bike is in full working order before its first use and to check it before each day’s use. Any faults must be reported to us immediately and before any further use. If you bring your own bike we cannot be responsible for mechanical problems – you should therefore ensure that your bike is in full working order.
The tour documents, roadbook and roadmap you receive from us is for you own use only. Copying, scanning or disclosing to a third party is prohibited.
Each participant may bring 20 kilos (44 lbs) of luggage. No single item must weigh more than 15 kilos (33 lbs) and a maximum of 2 items per person. The total number of luggage must be the same during the tour.
Ruby Rejser Aps reserves the right to offer alternative hotels to the hotels shown on our website. In this case the hotel will be of a similar standard.
All travellers must have a valid passport fulfilling the travel regulations. All clients are responsible for obtaining their own visas and observing the relevant entry, health and currency regulations that may apply in the countries to be visited.
Trip Cancellation Insurance is strongly recommended. We also ask you to ensure that you have adequate travel insurance to cover you for your cycling tour. Both should be taken out in your country of residence. Guests are responsible for any loss, damage or theft of the rented bicycles and equipment.
Ruby Rejser Aps will always do our maximum to ensure you enjoy your holiday. However, if there is a problem with your tour we ask that you inform us as soon as possible during your stay, so that we have a chance to put it right.
The sale of a Ruby Rejser Aps tour may provide for limitation of compensation in accordance with the rules laid down in international conventions. All matters and differences between the customer or agent and Ruby Rejser Aps shall be subject to the sole jurisdiction of Sø- og Handelsretten (Maritime and Commercial High Court) in Denmark.
Ruby Rejser Aps makes every effort to ensure that all the information on our web site is accurate. However, some errors may occur, or by the time that you book, certain elements may have changed. We therefore ask that you check all details at the time of booking to ensure that you get the holiday that you are expecting.
